Evidence basis: five current first-party product or pricing pages, current NCSC and ICO guidance, and an original Cellbot acceptance register. This is an editorial source check, not hands-on product testing. Features, limits and terms can change after the stated review date.

Genuine free repair shop software exists, but every zero-price route has a boundary. Current options differ on repair volume, data retention, invoices, inventory, communications, users, locations, hosting and export. Shortlist from current vendor evidence, then test the complete repair record and the exit route before putting live customer data into any product.

There is no universal winner. A free cloud plan can suit a low-volume solo operator, while an offline tool can suit one controlled device. Neither is automatically suitable for a team, multiple counters, long retention periods or a shop that needs dependable integrations.

Quick answer: verify that “free” means an ongoing usable plan, not a demo. Reject any route that fails security, retention, export or legal requirements. Run representative jobs from intake to refund and export; calculate the owner's time and dependent service costs; then approve, restrict or reject the route.

The table reports what each vendor's current public page says. It is not a quality ranking, endorsement or promise that the offer will remain available.

RouteVendor-stated zero-price boundaryThe first question to prove
MyGadgetRepairs Free for Life£0; 25 tickets and invoices a month, 25 products or services, one location and one userWhat does “fair usage” cover, and how does the inactivity rule affect access and records?
Repero FreeFree forever; unlimited employees, 10 emails a month, 50 inventory items and one photo per repair or product; no included SMSDoes the free workflow, communication allowance and CSV backup preserve the evidence your shop needs?
Fixmo Free30 repairs, 50 sales, 50 inventory items, one branch, admin-only access, 10 invoices, five quotations and 30-day data retentionCan a statutory, accounting and warranty record outlive the free plan's stated retention boundary?
LunixPOS Free$0; vendor states unlimited orders and products, repair tickets, task boards and payment links; its page describes the free route as one user and one locationWhich repair, payment, export, permission and support functions remain usable without a paid tier or payment-service dependency?
LynxDesk Free$0 offline Chrome extension; unlimited repair tracking, local storage and manual backup; cloud backup, analytics and CSV export are presented as premiumCan one controlled browser/device and the available backup format meet recovery, team and exit requirements?

MyGadgetRepairs' pricing page states the £0 plan limits and marks fair usage. Its FAQ says an inactive free account may be deleted after three months, with reminder emails. Repero's pricing page lists its free-plan limits and says repairs can be downloaded as CSV.

Fixmo's plan documentation makes its 30-day retention limit explicit. LunixPOS describes its free and paid boundaries on one page. LynxDesk describes an offline-first model whose data and recovery trade-offs differ from a hosted multi-user system.

Define “free” before comparing features

Use separate labels:

LabelMeaningMain risk
Free ongoing planNo recurring software fee for the stated scopeHard usage, retention, user or feature boundary
Time-limited trialTemporary product accessSetup creates pressure before evidence is complete
Demo or sandboxDemonstration data or a guided environmentMay not prove migration, failure or export behaviour
Open-source licenceSource code may be used under its licenceHosting, maintenance, security and support still have owners
Offline local toolData is held on the shop's controlled deviceDevice loss, recovery, concurrency and remote access
Free companion toolOne task is free, such as forms or spreadsheetsFragmented customer truth and duplicated work

“No monthly subscription” does not establish that payment processing, messaging, hardware, backups, support, migration or compliance work is free. It also says nothing about how the service is funded or whether the offer is available to a UK business.

The repair-shop software free-trial guide owns the time-limited evaluation route. This page owns the ongoing zero-price decision.

Set hard gates before creating an account

A feature score must not average away a failed trust boundary. Write the following gates first.

Data control

Identify the contracting entity, hosting route, roles, subprocessors, retention, deletion, backup, restoration and export. Establish which customer, device, diagnostic, access, payment and communication data will enter the system.

The ICO's data-protection principles guide explains lawfulness, purpose limitation, data minimisation, accuracy, storage limitation, security and accountability. Apply the shop's qualified data-protection process to the actual product and use case.

Do not paste a live customer's device passcode, private message, photo library or unnecessary identity data into a test account. Use fictional records until the data route has been approved.

Security and recovery

Ask for evidence appropriate to the risk:

  • multi-factor authentication and account recovery;
  • user roles and removal;
  • activity and record-change history;
  • data in transit and at rest;
  • backup scope, frequency and restoration;
  • vulnerability and incident contact;
  • supported devices, browsers and update route; and
  • service status and continuity arrangements.

The NCSC's current small-organisations cyber-security guide covers backups, devices, accounts and scam resistance. A vendor's broad “secure” label is not a substitute for the shop's risk decision.

Record and exit

The shop must be able to preserve the records it is required or chooses to keep. Define export fields and attachments before import, then prove that the output can be opened and reconciled without the vendor interface.

The repair-shop CRM guide defines customer and device records. The work-order guide defines authorisation and job evidence. A free plan that cannot preserve those records may cost less to start and more to leave.

Run a representative repair test

Use the same fictional test pack for every candidate. Include normal work and failure states:

  1. create a customer and device without unnecessary fields;
  2. record intake condition, accessories and consent;
  3. distinguish quote, approval and work order;
  4. reserve a part and record its source or batch where needed;
  5. change diagnosis after inspection without erasing the first decision;
  6. obtain a revised approval;
  7. record technician, tests and unresolved exceptions;
  8. issue the invoice and reconcile part and full payments;
  9. cancel one job and refund another;
  10. reopen a repair under the shop's warranty process;
  11. export customers, repairs, line items, payments, notes and timestamps; and
  12. remove a user or recover from a lost device or account.

Record observed results, not a tick based on the vendor page. “Inventory included” does not prove reservations, returns, stock adjustments or fitted-part traceability. “Export available” does not prove attachments, relationships or stable identifiers survive.

Use the software-selection test for weighted requirements and the operations playbook for stage ownership.

Test the free limit against real denominators

Translate each limit into the shop's actual workload:

limit utilisation = representative monthly requirement ÷ published monthly limit

retention coverage = available record days ÷ required record days

communication coverage = included usable messages ÷ required service messages

Keep the units aligned. A product can advertise unlimited employees while limiting messages or inventory. A plan can allow 30 repairs but only 10 invoices. A local tool can allow unlimited records but still be restricted to one device and one recoverable copy.

Set a safety margin for seasonality, rework and duplicate or failed events. Do not run at a hard cap if reaching it would block intake, invoicing, customer updates or evidence retention.

Calculate total cost rather than subscription price

Use a visible formula:

monthly operating cost = subscription + mandatory services + payment and message charges + hardware + backup + support + owner administration + expected failure and exit cost

Owner administration should use a declared time value, not an invented industry average:

owner administration cost = measured monthly hours × chosen value per hour

For example, a fictional shop tests two routes. Route A costs £0 but requires four extra reconciliation hours at a chosen £25 per hour and £12 of dependent services: £112 a month. Route B costs £49 and requires one extra hour plus £12: £86. This does not prove Route B is better; it shows why £0 is not the complete comparison.

Run a downside case for migration, downtime, lost attachments, unavailable support and retraining. Exclude hoped-for sales or time savings unless the pilot actually measures them.

Prove the exit before committing live records

Export the pilot and answer:

  • Are customers, devices, jobs, parts, approvals, invoices, payments and messages separate and linked?
  • Are stable identifiers and timestamps retained?
  • Are notes, photographs, signatures and documents included or recoverable?
  • Does the export explain deleted, cancelled, refunded and reopened records?
  • Can the shop reconcile counts and money without the original interface?
  • What happens at the usage cap, downgrade, inactivity, closure or browser-device loss?
  • Is deletion requested separately after the shop has verified its retained copy?

Time the exercise. Record missing fields and manual reconstruction. An exit promise passes only when the shop can use the resulting evidence.

Decide: use, restrict, pay or reject

DecisionEvidence requiredTypical boundary
UseAll hard gates pass and normal volume remains within a safe limitControlled solo or low-volume workflow
RestrictA narrow use is safe but another function needs a separate ownerEnquiries, inventory or offline tickets only
Move to paidThe product passes but a necessary limit or function sits in a paid tierTeam access, retention, messaging, export or integrations
RejectData, security, continuity, truth or exit evidence failsNo live customer data should enter

Review the decision when the vendor changes the offer, the shop hires, opens a location, adds a channel or crosses the defined workload boundary. Preserve the evidence date; “free forever” is a vendor statement, not control over future pricing.

How Cellbot fits the zero-cost comparison

Cellbot is paid-only. It does not offer a free plan or free trial. Its current Starter, Pro and Pro Plus scope and the first-paid-subscription guarantee are stated on the Cellbot pricing page.

That makes Cellbot ineligible for a free-only shortlist. A shop should compare it only after deciding that its repair pricebook, AI-assisted enquiries, workflow or wider operating scope may justify a paid candidate. Use the same data, workflow, continuity, cost and exit tests; do not award Cellbot points because it publishes this guide.

Free repair shop software FAQs

Is there genuinely free repair shop software?

Yes. Multiple vendors currently publish ongoing zero-price plans, and an offline free route also exists. Their limits differ materially, so verify the current first-party page and the exact offer shown during signup.

What is the best free repair shop software?

There is no evidence-based universal winner. The best fit is the candidate that passes the shop's non-negotiable data, workflow, continuity and exit gates inside a safe usage margin.

Is open-source repair shop software automatically safer?

No. Source availability changes the deployment and inspection model, but the shop still needs competent hosting, updates, access control, backup, restoration, security response and lawful data handling.

Can I run a repair shop in a spreadsheet for free?

A spreadsheet can support a tiny controlled pilot, but it does not automatically provide permissions, linked records, audit history, communication state, attachments or safe concurrent work. Test the same hard gates and define when to stop.

Should I use real customer data during a free trial or test?

Not before the data route, terms, security, retention and deletion process are approved. Use fictional records for initial workflow testing and introduce the minimum live data only through the shop's controlled process.

When should I leave a free plan?

Before a hard limit threatens intake, invoicing, records, customer communication, recovery or staff access. Move when measured operating and failure costs exceed the value of remaining on the free route, not at an arbitrary repair count.
